Role Summary

The Administrative Support Specialist has two crucial roles:
1. Provide organizational and administrative support to our CEO and staff, ensuring efficient operations and helping to optimize the CEO’s time.
2. Support customers and clients across our range of ministries.
This can be fully remote or a hybrid position with 2 days / weekly in our office (Louisville, KY). We’re a big believer in flexibility.
Reports to CEO, salaried exempt, 40 hours per week

Responsibilities

Administrative Support

Weekly Task Scheduling and Management: Responsible for consolidating the CEO's weekly task list, which may include a range of activities from business development initiatives to administrative requirements. Schedule these tasks on the CEO's calendar, ensuring that they are allotted appropriate time and resources.

Prioritize tasks based on strategic importance and time sensitivity, aligning them with the CEO's objectives and commitments for the week and ensuring details are not missed. 

Provide regular updates and reminders to the CEO about upcoming tasks and responsibilities. Adapt the schedule as needed to account for urgent issues or changes in strategy.

Support the entire team with various organizational and administrative needs.

Customer Service & Communication

Ensure timely communication for our B2B clients (business to business) . Support our account managers to make sure their accounts get timely responses. Be the air traffic controller to direct support requests to the right department.

Provide customer support for eCommerce customers via phone and email.

Be a customer advocate to identify and assess their needs to achieve satisfaction.

Assist in processing orders, refunds, and cancellations.

Provide support in organizing and maintaining documentation for customer service and eCommerce SOPs (standard operating procedures). Maintain up-to-date policies and responses across all eCommerce ministries.

Scheduling and organizing social media pieces created by our designers for internal ministries.
